How to Edit Time Entries for Your Delegator in Laurel

Learn about how to edit, merge, delete, and reassign time entries in Laurel on behalf of your delegator, including bulk editing options.

You can modify time entries for your delegator in Laurel to ensure accurate billing and proper organization on their behalf. Editing allows you to delete entries, merge related work, change dates, reassign entries to different initiatives, and make bulk changes across multiple days. Most editing functions work on unreleased entries, though some firms also have post-release editing capabilities.

What you'll need:

  • Access to the Laurel web app.

  • Delegate permissions for your delegator's Laurel account.

  • Unreleased time entries (most editing functions only work on entries that have not been released).

  • Appropriate permissions for the matters/initiatives you're working with for your delegator.

Basic entry editing

To make basic edits to your delegator's time entries -- like changing a matter/initiative/project, updating a narrative, or changing a billing code -- simply click on the entry to pull up the Edit Entry modal.

Delete time entries

Step 1: Select the entry you want to delete

Click the checkbox to the left of the time entry in your delegator's timesheet to select it. You can select multiple entries by holding Shift and clicking additional entries, or by using the checkboxes.

Step 2: Click the delete action

With your entry(ies) selected, click the delete button in the action bar that appears. The delete button looks like a trash can. A confirmation dialog will ask you to confirm the deletion.

Step 3: Confirm the deletion

Click "Confirm" in the dialog box to permanently remove the entry from your delegator's timesheet. If the entry you deleted contained activities from their work tracking, those activities will remain available in their Work Activity panel and can be used to create new entries if needed.

Merge time entries

Step 1: Select entries to merge

Select two or more entries that belong to the same matter/project/initiative by clicking the checkbox to the left of the entries in your delegator's timesheet. You can only merge entries that are assigned to the same matter/project/initiative - entries from different initiatives cannot be merged together.

Step 2: Click the merge action

With your entries selected, click the "Merge" button in the action bar. The merge button looks like two arrows pointing to each other. Laurel will combine the selected entries into a single entry.

Step 3: Review the merged entry

After merging, Laurel will automatically recalculate the total duration based on the underlying activities or manual time, combine narratives (descriptions) from all merged entries separated by semicolons, and keep billing codes if they're the same across entries. If the billing codes are different, Laurel will reset and re-predict codes.

Unmerge time entries

Step 1: Select the entry you want to unmerge

Click the checkbox to the left of the entry you want to unmerge in your delegator's timesheet. This option is only available for entries that contain tracked activities, Timers, or have been previously merged.

Step 2: Click the unmerge action

Select "Unmerge" from the action bar. The unmerge button looks like four arrows pointing away from each other. Laurel will create separate entries for each individual activity that was part of the merged entry.

Step 3: Review the separated entries

Each activity will now have its own entry, which you can then edit, reassign, or manage independently on behalf of your delegator.

Change entry dates

Step 1: Select the entry you want to edit

Click on the entry you want to move to a different date in your delegator's timesheet. The change date option is only available for entries created manually, not for entries built from tracked activities.

Step 2: Choose "Change Date"

Select the change date option from the available actions in the upper left of the entry modal. A date picker will appear.

Step 3: Select the new date

Choose the date where you want the entry to appear on your delegator's timesheet. The entry will be moved to that day with all its details intact.

If you want to change the date of an entry with tracked activities, you will need to select the "Save and Duplicate" option, which will save the existing entry and duplicate it. After the entry saves and duplicates, you can change its date.

Reassign entries to different matters/initiatives/projects

Step 1: Select entries to reassign

Choose the entries you want to move to a different matter/initiative/project by clicking the checkbox to the left of them in your delegator's timesheet. You can select multiple entries to reassign them all at once.

Step 2: Click the Assign button

Select the "Assign" button from the action bar. The assign button looks like a folder with an arrow on it. This will open the matter/initiative/project selection interface.

Step 3: Choose the new matter/initiative/project

Search for and select the new matter/initiative/project to which the entry(ies) should be assigned. For quick reassignment to recently used matter/initiative/project, you can also select from the "Recent" matter/initiative/project list.

Step 4: Confirm the reassignment

Click "Save" to confirm the change. The entries will now appear under the new matter/initiative/project with all other details preserved.

Bulk reassign entries across multiple days

Step 1: Access Time Control from your delegator's timesheet

On your delegator's timesheet, navigate to the matter/initiative/project that contains the entries you want to reassign. Click the settings cog icon next to the matter/initiative/project name. The settings icon looks like a gear.

Step 2: Select bulk actions

Choose "Bulk Actions" from the dropdown menu. This will open the bulk editing interface.

Step 3: Select entries to reassign

Choose the specific entries you want to reassign on behalf of your delegator. You can select entries from multiple days at once.

Step 4: Choose the "Assign" button

Click the "Assign" button in the header that appears above the entries. The assign button looks like a folder with an arrow on it. Search for or select the new matter/initiative/project to which these entries should be moved.

Step 5: Confirm the bulk reassignment

Review your selections and confirm the reassignment by clicking the "Assign" button in the modal. All selected entries will be moved to the new matter/initiative/project regardless of which day they appear on.

Edit entries after release

The ability to edit entries after they've been released from Laurel depends on your firm's practice management system (PMS) and whether your firm has elected to allow editing post-release. This feature is only available for Aderant customers who have opted in to allowing post-release editing.

Post-release editing is not available to most customers. Only follow the steps below if you know your firm allows this.

Step 1: Select the released entry in your delegator's timesheet

Click the checkbox to the left of the released entry you want to modify. Released entries are highlighted in green on your delegator's timesheet.

Step 2: Click the "Amend" button

With the released entry selected, click the "Amend" button that appears in the action bar. The amend button looks like an arrow forming a circle. This will unlock the entry for editing.

If you cannot click the "Amend" button, your firm does not allow post-release editing and you will need to access the entry in your firm's PMS to edit it.

Step 3: Make your edits

Once the entry's status goes to "Ready to Amend," you can click on the entry and edit it as if it were unreleased. You can modify the description, duration, billing codes, or other details as needed on behalf of your delegator.

Step 4: Re-release the entry

After making your changes, save the entry and re-release it. Click the "Release" button to submit the updated entry back to your PMS.

Step 5: Confirm the update

The updated entry will be sent to your firm's Practice Management System. If the entry is successfully updated, the entry's status will update to show an icon with two arrows forming a circle that says "entry was successfully re-released."

However, if your firm has locked the Practice Management System to edits, you will receive an error message on the entry and your edits will be rejected. You'll see the entry's edits reversed to maintain synchronization between the entry in the timesheet and the entry in the Practice Management System. You will need to go directly to your Practice Management System to make edits to the entry.

If you're having trouble:

  • If you can't merge entries: Make sure the entries belong to the same matter/initiative/project - you cannot merge entries from different initiatives.

  • If the "Change Date" option is missing: This feature only works for manually created entries, not entries built from tracked Work Activities. To change the date of an entry with tracked Work Activities, you'll need to use the "Save and Duplicate" option and then change the date on the duplicated entry.

  • If the "Reassign" button is not appearing: Ensure you have the proper delegate permissions and access to both the current and target matters/initiatives for your delegator.

  • If bulk actions are not available: Check that you're in the Time Control view and have selected the correct initiative header.

  • If the "Amend" button is not visible: Post-release editing may not be enabled for your firm. Go directly to your firm's Practice Management System to make edits to released entries.

What happens next

After making any edits to your delegator's entries, remember to review their timesheet before releasing entries to your PMS. Once entries are released, editing options become unavailable unless your firm has post-release editing enabled. All changes are preserved in the timesheet and will be reflected in your PMS when entries are processed.
