What is delegate timekeeping in Laurel?

Delegate timekeeping allows someone to assign you to manage their Timesheet on their behalf. When this access is granted to you, you can create and edit time entries and submit their time for billing—all from your own Lau account. Depending on the access level they grant you, you may also be able to view their Work Activities. This is especially helpful if you are an assistant who helps manage administrative tasks.

There are two levels of delegate access:

  • Timesheet Only: You can create, edit, and release time entries, but you cannot see the delegator's Work Activity panel or passive time capture data.

  • Timesheet + Activities: You have full access to both the timesheet and the Work Activity panel, including AI-powered Groups and activity suggestions.

Your delegator controls which access level you have and can modify it at any time.

How does someone assign me as their delegate?

The delegator needs to click on their initials in the bottom left corner of the web app to open Account Settings ("Your Account"), then select the Identity and Access Management tab.

In the Add Delegate field, they need to type your name or email address to find you, select you from the options available, choose your access level ("Timesheet Only" or "Timesheet + Activities"), click "Add", then click "Save" to confirm. If your name doesn't appear in the dropdown, you may need to log in to app.laurel.ai first to create your account.

Once the delegator has added you as a delegate, you'll have access to their Timesheet from your Laurel account. To switch into their account, click on your name in the upper left corner of the Laurel Web App. This will open the Delegators drop-down menu, where you can select to navigate to a delegator's Timesheet.

Why am I getting configuration errors when I try to access my delegator's Timesheet?

When you get delegate access to a timekeeper's account, you need to fully log out of Laurel and then log back in. If you do not take this step, you will get configuration errors and not be able to access their time.

Can I manage timesheets for multiple people?

Yes, you can be a delegate for multiple people. If you have been given delegate access to someone else's time, their name will appear in the Delegators list in your account. You can switch between different delegators' Timesheets by clicking the Delegators dropdown menu at the top left of your Timesheet and selecting the name of the person whose Timesheet you want to manage.

What can I do as someone's delegate?

Your capabilities as a delegate depend on the access level your delegator has granted you:

All delegates can:

  • Create new time entries

  • Edit existing entries

  • Delete entries

  • Reassign entries to the correct client or matter

  • Submit time for release

  • Use Time Control and export reports

Delegates with "Timesheet + Activities" access can also:

  • View the delegator's Work Activity panel

  • See AI-powered work Groups

  • Access passive time capture suggestions

  • Create entries directly from tracked activities

Delegates with "Timesheet Only" access:

  • Can perform all standard timesheet management tasks

  • Cannot view the Work Activity panel or tracked activities

  • Can still create entries manually using matter codes and timers

If you believe you should have access to Work Activity but cannot see it, ask your delegator to verify your access level in their delegate management settings.

How do I know what access level I have?

  • If you can see the Work Activity panel on the right side of your delegator's Timesheet (or the option to "Show Work Activity" in the "See More" menu), you have "Timesheet + Activities" access.

  • If you don't see the Work Activity panel or any options to show it, you have "Timesheet Only" access. You can still manage all timesheet functions, but you won't be able to view tracked activities.

  • If you're unsure about your access level or believe it should be different, contact your delegator to verify the permissions they've granted you.

Can my delegator change my access level?

Yes, your delegator can modify your access level at any time through their delegate management settings. They can switch you between "Timesheet Only" and "Timesheet + Activities" access based on their preferences and privacy needs.

If your access level changes, you may need to log out and log back in to see the updated permissions.

Can I edit entries after I've released them for my delegator?

In most cases, once entries are released, they cannot be changed or deleted in Laurel. Any edits to released entries must be made directly in your firm's PMS. This is why it's important to review all entries carefully before releasing them for their delegator.

Some firms make it possible for timekeepers and delegates the ability to make post-release edits to time entries, but this is a new feature and is not widely available. This is only available to firms using Aderant as their PMS who have enabled this feature.

Will the person I'm managing time for see the changes I make?

Yes, all updates you make as a delegate will be visible in their Laurel account in real time. However, the delegator won't receive automatic notifications when changes are made, so if you make important updates or submit their time, it's a good idea to let them know directly.

Note: Your delegator can also see and modify your access level (Timesheet Only or Timesheet + Activities) at any time through their delegate management settings.

What should I do if someone's name doesn't appear when I try to add them as a delegate?

If the person's name isn't appearing when you search in the Add Delegate field, it usually means their Laurel account hasn't been created yet. Ask them to log in to app.laurel.ai, and their account will be generated automatically. If you still can't find their name after they've logged in, contact the Laurel Support Team for assistance.

How can someone remove me as their delegate?

To remove a delegate, the person who assigned you needs to go to their Account Settings, select Identity and Access Management, click the trash can icon next to your name in the delegates section, and click "Save" to confirm the change.

How can I print time entries for my delegator to review?

There is no dedicated print function in Laurel. Instead, you can run a report in Time Control, then export it in either CSV or PDF format for printing.

To do this, follow these steps:

  • Navigate to your delegator's initials in the lower left of your screen, then click on them.

  • Select Time Control from the options that surface.

  • Once you’re in Time Control, you can filter entries by date, matter (project/initiative), client, and entry status (released, unreleased, etc.). Apply the filters that are relevant to the report you want to run.

  • When you’ve filtered the entries, click the "Export” button. From the drop-down menu, select “Export CSV” or “Export PDF,” depending on the file format you prefer.

  • If you selected “Export PDF,” you’ll be prompted to select a location to save the file. If you selected “Export CSV,” you’ll be prompted to confirm the export, and a download link will be delivered to your email.

  • After saving your report in the desired format, open the file in a compatible application and use the Print function to print the file.

You can export up to five weeks of entries at a time.
